A booking is more than choosing a date
Before a workshop can confirm a slot, it may need the vehicle registration, model, requested service, customer availability and enough context to decide how much workshop time is required.
A safe booking assistant should collect and structure this information first, then use an approved calendar or booking system where available. If the required capacity logic is not available to the automation, it should create a booking request for staff rather than inventing a confirmed appointment.
A practical booking workflow
- Identify whether the customer is requesting a service, inspection, tyre job, detailing, repair or another approved booking type
- Reuse details already provided in the conversation
- Collect missing vehicle and contact information
- Capture preferred date and time rather than promising an unverified slot
- Check an approved calendar or booking system if integration is available
- Route unusual duration, custom work or unclear service requests to staff
- Record the booking status and responsible owner
- Send an approved confirmation and reminder after the booking is accepted
Planning examples for different enquiry volumes
A workshop receiving 100 booking-related enquiries per month may only need simple intake and reminders. At 500, staff assignment and duplicate prevention become more important. At 1,000, multi-outlet routing, service-duration rules and queue visibility may justify a more structured booking layer.
- 100/month: capture details consistently and reduce manual reminder work
- 500/month: add ownership, status and duplicate checks
- 1,000/month: add outlet routing, service-type rules and operational reporting where appropriate
What should remain human-controlled
- Technical assessment of the vehicle
- How long an uncertain repair will take
- Priority changes that affect existing customers
- Pricing exceptions or discounts
- Warranty or insurance decisions
- Any booking that depends on parts, technician capability or workshop conditions not visible to the system
Important note about the examples
Workflow examples, enquiry volumes and document-volume calculations in this article are illustrative and are provided to explain possible automation designs. Actual integrations, processing time, extraction accuracy and operational outcomes depend on source quality, business rules, connected systems, APIs, account access and human-review requirements. Performance figures are only presented as tested results where specifically identified.
